Privacy Policy
The Sudbury Commercial Hood Cleaning Privacy Policy is the record of what personal information this website gathers, which services handle it, how long it stays on file, and how you ask to see or remove it. It follows the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal privacy law for Canadian businesses. You share personal details in one place only: the quote form. Page visits are counted by Google Analytics without asking your name. Last updated: September 2026.
Information the quote form collects
Five fields you fill in, and a few details the page attaches.
Fields you complete. Your name, phone number, email address, the name of the business or kitchen, and a message describing the job. Each field is required. A quote needs a kitchen to describe and a person to call back. The form appears on the homepage and on the contact page.
Details the page attaches. The web address and title of the page you sent the form from, and a form label (homepage form or contact page form). The page also adds a timing stamp that marks when it loaded. That stamp lets the server discard anything sent faster than a person can read the form.
Details the server adds. A submission time and a reference code, so a double tap or a retry shows up as a duplicate rather than a second enquiry.
A hidden spam field. One field is invisible to people. Automated scripts tend to fill it in, and any submission with that field filled is thrown away without being stored.
Information never requested. Card numbers, banking details, passwords, government identification and health information. Do not type any of these into the message box.
How a form submission travels
Step one: a Netlify function. Your browser sends the form to a small program hosted by Netlify at an address on this domain. It refuses posts from other websites, checks the spam field and the timing stamp, confirms the phone number has ten digits, and passes a clean submission on. It keeps no database of its own. Netlify keeps short technical logs of errors and rejected posts for troubleshooting.
Step two: the GoHighLevel CRM. The clean submission goes to a GoHighLevel customer relationship manager, where it becomes a contact record. The person who prepares quotes is notified and follows up.
The reason it is collected. The record exists to book a free walk-through, send a written quote and schedule the visit. You may receive a call, a text or an email about that job.
No sale or rental. Your details are not sold, rented or handed to an advertising network.
Storage outside Canada. Netlify, GoHighLevel and Google may store data on servers outside Canada. PIPEDA permits this where the provider protects the information under contract, and the laws of that country may apply while it is there.
Google Analytics, cookies and the chat widget
Google Analytics 4. Every page carries the Google Analytics 4 tag G-5RK7X9V6K5. It measures which pages are read, how visitors arrive, and what kind of device they use. The reports show totals and trends, not named people. Google handles that data under its own privacy policy.
Cookies. Google Analytics sets first-party cookies, usually named with a _ga prefix, to tell a returning browser from a new one. This site sets no advertising cookies. You can block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on. The quote form works either way.
The chat widget, once switched on. A live chat window supplied by GoHighLevel may be added to the site. When it is active, it stores small pieces of data in your browser to keep a conversation open from page to page. Anything you type into it lands in the same CRM as the quote form and follows this policy.
Server and delivery logs. The hosting provider and the content delivery network that serve these pages record standard request details (IP address, browser, page and time) for security and reliability.
Retention, access, correction and deletion under PIPEDA
How long records stay. An enquiry that never turns into a job stays on file only as long as it is useful for answering you and recognising your kitchen if you call again. A completed job is different. Its certificate and before-and-after photographs are safety records that a kitchen may need later for Greater Sudbury Fire Services, Public Health Sudbury & Districts or an insurer. They are kept with the contact details needed to reissue them.
Seeing your record. PIPEDA gives you the right to see the personal information a business holds about you. Call 705-302-1378 and ask for a copy. It is provided within the time PIPEDA allows.
Fixing your record. A wrong phone number, a new email address or a misspelled kitchen name is corrected when you ask.
Deleting your record. Contact details are deleted on request. Certificates and photographs from completed work are safety records and stay on file. You are told about that exception at the time of the request.
An unresolved concern. Call first, so it can be put right. You may also complain to the Office of the Privacy Commissioner of Canada.
Children, other sites and changes. This site is written for people who run commercial kitchens and is not aimed at anyone under 18. Once you follow a link to another website, that site's own policy applies. When the way information is handled changes, this page changes and the date in the opening paragraph moves. Privacy: frequently asked questions
Why does the form send the page address and title?
The page address shows which page led to the enquiry. The homepage and the contact page carry the same form, and that detail is the only way to tell which page a quote request came from.
Who can see the details typed into the quote form?
The people who prepare the quote and book the visit. Netlify runs the function and GoHighLevel hosts the CRM, both as service providers. No other company receives the record.
Does Google Analytics know who you are?
Google Analytics does not receive your name, phone number or email from this site. It counts visits using a browser cookie and reports totals, such as how many people read a page.
Can the site be used with cookies blocked?
Every page and the quote form work with cookies blocked. Blocking them only stops your visit from appearing in the analytics totals. The phone line at 705-302-1378 needs no cookies at all.
How do you ask for a record to be deleted?
A phone call to 705-302-1378 is enough. Contact details are removed. Certificates and photographs from a completed visit stay on file as safety records.
